The Marin County Sheriff's Office:
The Marin County Sheriff's Office is committed to partnering with our communities to provide leadership and excellence in public safety. The department is divided into three major bureaus; Administrative and Support Services, Detention Services, and Field Services in addition to operating the countywide Special Enforcement Unit. The responsibilities of the Sheriff's Office Bureaus include providing general law enforcement services in the unincorporated communities of Marin County, maintaining the county jail, providing security to the Superior Court, operating a countywide communications division, performing death investigations under the purview of the Coroner, operating a documentary services division consisting of records, warrants, civil units, and more. ABOUT THE POSITION
There is currently one (1) full-time Administrative Assistant III vacancy in the Marin County Sheriff's Office. Candidates interested in this assignment, OR candidates interested in being considered for future Administrative Assistant III vacancies in any department should apply.
The Administrative Assistant III position within the Marin County Sheriff's Office plays a crucial role in providing professional, confidential and administrative support to the Sheriff and Undersheriff, as well as the Sheriff's executive team. This multifaceted role involves serving as the point of contact between the Sheriff's executives and internal or external colleagues; organizing meetings and managing calendars; making travel arrangements; producing reports and presentations; maintaining filing and database systems and leading several operational programs. The Administrative Assistant III is also the lead logistical coordinator for several committees and advisory boards on which Sheriff's executives serve. They serve as a liaison, referring matters to the appropriate staff, problem-solving, and efficiently screening incoming emails and correspondence for prompt action.
Other duties include but are not limited to:- Overseeing contracts, ensuring compliance with regulations.
- Handling purchase orders, deposits, and invoices with precision.
- Administering the department's records and retention program.
- Coordinating agenda requests, letters, and packets for the Board of Supervisors, ensuring accuracy.
- Preparing and updating information for a range of purposes, including County-wide, departmental and public information for internal and external websites.
- Administering the DMV pull program, maintaining records and compliance.
- Training other administrative staff on company policies and best practices.

QUALIFICATIONSKnowledge of:
- Standard office administrative practices and procedures including filing and retrieval systems, business correspondence formats and the operation of standard office equipment.
- Standard office applications related to the assignment.
- Business English including spelling, grammar and punctuation.
- Basic arithmetic.
- Basic budgetary principles and practices.
- Accounting clerical policies and procedures related to the processing, reconciling and recording of financial records and transactions.
- Procedures and forms related to processing payroll and human resources records.
- Basic principles and practices of staff supervision.
- Basic understanding of Public Records Request and Records Retention statutes.
Ability to:
- Independently perform a variety of routine and complex administrative tasks.
- Learn the organization, services, programs, policies and procedures of the assigned department, committee or board.
- Learn basic organization, structure and function of public agencies, including the roles of elected officials and appointed commissions and committees.
- Maintain highly sensitive and confidential information depending on assignment.
- Interpret, apply and explain departmental and County rules, regulations, ordinances, policies and procedures and federal, state and local laws, rules and regulations related to the area of assignment.
- Independently compose letters and other correspondence.
- Compile and summarize data; prepare reports, correspondence and other materials which may require researching and summarizing information from various sources.
- Monitor departmental contracts and budget accounts including routine expenditures; perform tracking as appropriate.
- Provide lead direction and training or formal supervision to others depending on assignment.
- Process accounting, human resources, payroll and purchasing transactions using an automated enterprise system depending on assignment.
- Perform basic mathematical calculations.
- Prepare and maintain accurate and concise records, reports and other content using a variety of sources including databases, spreadsheets and graphics software.
- Communicate effectively both verbally and in written form sufficient to convey information and instructions to the public and other employees in situations requiring tact, courtesy and poise.
- Establish and maintain effective working relationships with those encountered during performance of duties.
- Type at an acceptable rate of speed based on the requirements of the position.
MINIMUM QUALIFICATIONS
Any combination of education, training and experience that would demonstrate possession of the required knowledge and skills. Typically, the equivalent to four (4) years of substantial and increasingly responsible administrative support experience which includes at least two (2) years as an advanced journey level administrative assistant providing management level support. Experience in a public sector or law enforcement environment or dealing with governmental, community and business representatives is desirable. College or business school training in a field related to the work is desirable. Experience related to assigned department is preferable.SPECIAL REQUIREMENTS
Candidates selected must successfully pass a background investigation and additional examinations which may include, but are not limited to, polygraph exams and pre-employment controlled substance use standards conducted by the County of Marin's Sheriff's Office prior to appointment.
May be required to work holidays or as needed in response to emergencies.
