Full Job Description

The CAS Assistant Dean, Faculty Affairs provides high-level operational leadership related to planning, implementing, and administering operations for faculty affairs within the College of Arts & Sciences. The CAS Assistant Dean, Faculty Affairs, will occasionally work evening and weekend hours, with 1 day per week working remotely as an option.

Primary Responsibilities:

Administers Faculty Review, Promotion & Tenure, Sabbatical, Emeritus application process: prepares and proactively manages cases using Watermark to collect, distribute and archive all promotion and/or tenure, third year, annual review and sabbatical leave materials in accordance with established timeline; maintains and distributes schedule for all tenure track faculty with expected dates for third year review and tenure filing, eligibility for multi-year contracts, sabbaticals and promotion, notifying faculty and Department Chairs accordingly; takes initiative to identify and implement improvements to process to optimize efficiency and efficacy for all relevant stakeholders; maintains and distributes calendar with deadlines and provides training workshops on policy, process and Watermark platform on a regular basis for faculty; prepares materials for review by the dean and works with dean and Senior Administrative Associate to ensure timely completion of review process; generates reports to showcase faculty achievements; maintains schedule for faculty classroom observations in compliance with faculty review policy and collective bargaining agreement. Prepares information regarding faculty reviews, promotion & tenure, sabbatical, emeritus application process for CAS faculty and staff newsletter and reports.

Administers Faculty Contracts, Letters of Appointment: Collaboratively with Assistant Dean, Administration, prepares faculty contract, appointment and salary increase letters for all Full-time and Part-time faculty. Maintains working knowledge of part-time Collective Bargaining Agreement (CBA); maintains adjunct classroom observations schedule and records as required by CBA.

Scheduling & Load Checking: Check departmental section numbers to ensure alignment with allocations; enter and check sections for SF, CAS, and CI programs; coordinates with Associate Deans and the Assistant Dean of Administration to pull data and compile lists using Excel and Workday to make sure faculty are teaching at load; ensures we have records of all releases and leaves including course buy-outs from grants. Collaborates with Assistant Dean, Administration to ensure replacement hires to cover grant-funded course buyouts are covered through applicable grant funding.

Course Evaluations: works with OIRA on ensuring evaluations are posted on Canvas with sufficient time for completion and that all Canvas courses are open; distributes evaluations and raw data to department chairs and program directors.

Administers Funding & Support Programs for Faculty: manages application process and confirmation of funding allocations for faculty in support of conference travel, research and creative activity; facilitates funding allocations by Committee for Teaching & Scholarly Development and Teaching Assistance Program by issuing calls for applications and facilitating application process, attending meetings and taking notes issuing letters to awardees and submitting RA and TA names to Financial Aid; takes initiative to identify and implement improvements to process to optimize efficiency and efficacy for all relevant stakeholders; maintains records of award recipients and activities funded for reporting and marketing efforts to showcase faculty achievements. Prepares information regarding funding and awards for CAS faculty and staff newsletter and reports.

Facilitates External Grant & Funding Applications: collaborates with Office of Research & Sponsored Programs to facilitate timely processing of faculty applications for external grants and foundation funding and drive faculty grant, foundation and other external funding applications with training workshops and proactive dissemination of information; takes initiative to identify and implement improvements to process to optimize efficiency and efficacy for all relevant stakeholders; ensures up-to-date records are maintained on all funded grants including course-releases; collaborates with institutional partners to facilitate reporting and marketing efforts related to CAS faculty members' awarded grants. Prepares information regarding grant funding for CAS faculty and staff newsletter and reports. Other Duties as Assigned.

Qualifications:

  • Master's Degree required, preferably in the Arts & Sciences
  • 3+ years of relevant administrative experience in higher education preferred
  • Demonstrated understanding of faculty promotion & tenure process preferred
  • Demonstrated track record of discretion, confidentiality and professionalism required
  • Demonstrated cross-cultural competency in a diverse workplace.
  • Excellent attention to detail, ability to complete tasks independently with accuracy
  • Outstanding professional judgement, accountability and follow through
  • Proactive, collaborative problem-solving & planning to achieve seamless user experience
  • Ability to drive multiple projects to successful completion simultaneously & on deadline
  • Ability to deal with ambiguity, adaptable and flexible in the face of change
  • Excellent listening, verbal and written communication skills
  • Knowledge of and experience using Watermark and Workday preferred
