The CEO Assistant will work closely with the Chief Executive Officer (CEO) to provide administrative, organizational, and strategic support. This role requires a highly organized and proactive individual capable of managing multiple tasks and ensuring the CEO's time and resources are optimized effectively.
What you will do in this role:
Administrative Support:
- Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements
- Prepare and review communications, reports, and presentations for internal and external stakeholders
- Handle confidential information with discretion and maintain privacy
- Coordinate and prepare for board meetings, executive committee meetings, and other key events
Communication Liaison:
- Serve as the primary point of contact between the CEO and both internal and external stakeholders
- Screen and prioritize incoming communication, including phone calls, emails, and correspondence
- Draft and respond to emails and communications on behalf of the CEO when required
Project Management:
- Assist in managing key projects and initiatives by tracking deadlines, deliverables, and milestones
- Help in coordinating interdepartmental teams and ensuring that projects align with strategic business goals
- Research and gather information on various topics for executive decision-making
Travel Coordination:
- Organize domestic and international travel arrangements, including flight bookings, hotel accommodations, and transportation
- Prepare travel itineraries and assist with expense reports and reimbursements
- Organize and manage executive meetings, both internal and external, ensuring proper preparation and follow-through
- Assist in planning and coordinating corporate events and conferences
- Proven experience as an executive assistant, administrative assistant, or similar role, preferably supporting C-suite executives
- A Bachelor's degree in business administration, management, or a related field is preferred
- Strong organizational, time-management, and multitasking skills
- Excellent verbal and written communication skills
Ability to handle sensitive information with utmost discretion and confidentiality - Proficient in Microsoft Office Suite, Google Workspace, and other relevant tools
- Strong problem-solving and critical thinking abilities
- Ability to work under pressure and meet deadlines effectively
- Proactive, detail-oriented, and highly organized approach to work
- Ability to prioritize tasks and manage competing demands efficiently
- Flexible and adaptable to changing priorities and dynamic work environments
